Responsibilities
Building Use Form:
Anytime your group plans on using a school facility such as a
classroom, the Commons, Library, or Gym - then you should fill out a Building
Use Form. This form helps to ensure the custodian staff is prepared, there
are no conflicts with other groups, and that the event has had the proper
approvals. There are two parts to the form:

Class Advisors: There is a specific
job responsibility list for class advisors.
Event Promotion:
Information on how to do get an activity on the event calendar is available
here. You can also
utilize the PTSA
newsletter for publicity. All posters and fliers in the school must
be signed by either Mr. James or Mr. Krieger before they can be put up.
Flyers – There are sufficient cork
tack boards around campus to handle the posting of flyers. Please limit
the number of flyers that your group posts (up to 10) and take responsibility
for having your students promptly remove them once your event has been
completed. Assigning a club or group member to that removal process
is highly recommended. Should a particular group consistently not remove
their posters, fliers, and/or notices in a timely manner (day following
the event), privileges may be revoked.
Posters – We realize there will be a need at
times for posters to be hung. The railing facing the ASB offices in
the Commons has been designated for the hanging of posters. Only blue
painter’s tape may be used on these railings. Please limit the
size of your posters so that they will fit in between the light post
sections. Each group may hang no more than one large poster in this
area so that 6-8 groups may use this space at any given time.
Extended Field Trips:
If you plan on going on an Extended Field Trip, it is important to fill
out the proper paperwork. An Extended Field Trip is one that meets any
of the following criteria:
1. 300 miles away from Newport High School
2. Out of State
3. Overnight
If your plans meet any one of these three criteria, then you must pick
up an Extended Field Trip packet from Mr. James. There are strict deadlines
on turning this paperwork in (months ahead of time).
Fundraising:
The advisor should ensure that all fundraising is following the
proper guidelines. Anytime your group handles money (selling items, raising
funds, donations, etc) - then you must fill out a fundraiser request form
and turn this in at least one week in advance. Information is available
on the fundraising page.
Meetings:
If you schedule a club meeting after school - then it cannot start any
earlier than 3:10pm because of tutorial and passing time. This is the
same rule for athletics practice. This includes class officers and advisors
as well - meetings cannot happen during tutorial time.
Motivation & Support:
The students should be doing a majority of the leadership, however, there
will be times when the they may need some advice and support. A non-threatening
way to get the student leaders to think about where they are currently
at is a self-evaluation of the club/group. An example of that is available
here. The club officers/members
could fill this out independently or together as a method to start a discussion
on how to improve the club.
Projects:
Your club or organization will most likely be involved in various projects
throughout the year. Remember there are certain things to consider when
planning projects:
-Fundraisers: Go to the fundraising
page for specific information on this.
-Movie Nights: Copyright law governs the public performance of movies.
You cannot simply rent a video to show to a club or group on campus.

-Event Contracts: If you are planning an event that requires a contract,
then you must get the signature of the principal. The building principal
is the only person on campus that is authorized to sign a contract for
our school or student organization.
-Supervision: If your club is doing some activity (on or off campus),
then you or another school representative must be supervising. If you
have any questions about supervision, please contact the Activities
Director.
Transportation:
If your group needs a bus, please check
with Ms. Hurst in the ASB office. You should give her at least two weeks
notice when booking this kind of transportation. If your group is not
taking a bus, there are four forms that may apply to you:
Parent Drivers:
-Form for the parent driver
-Form
for the student(s) that are riding with the parent
Student Drivers:
-Form for the student driver

for the student(s) that are riding with the student
